We at eBerry part by Nordic Choice Hotels are looking for our new Distribution coordinator to our team. Here you will be a part of a small team with the vision to be the smartest movers in the hotel industry to drive B2B & B2C through the worlds best 360° digital guest journey. Our goal is to secure the position of Nordic choice hospitality group (NCHG) in the current & future distribution landscape. 

What will you be doing? 

Working here gives you the opportunity to make a huge difference for NCHG by setting a new efficient standard for the business and to support our commercial team with the right data to  make sure that all our commercial actions drive toward our mission.

In this role you will be responsible for our Travel Agent commissions on a central level for (NCHG), also you will be the first line support for customers owned by the commercial distribution team and leisure team. It will be your responsibility to provide various reports for commercial customers and the commercial distribution team. I.e Power BI & Sales,- COS cubes. As our Distribution coordinator you will work with different projects related to the distribution landscape and work closely with project managers to secure the needs from the Distribution department. Further on will you work with user support for our hotels & revenue (OTA). Your daily tasks will also include to analyze distribution data on behalf of the commercial distribution team & needs.

Main work tasks

  • Ensure that “commercial customer” related systems are updated with the correct information. This applies to: 
    • CRM system - Customer Relation Management system SuperOffice 
    • RMS - Rate Management system RateMaster
    • MDM - Master Data Management system EBX
  • Commission: 
    • Manage, maintain, support and develop current internal systems handling Travel Agent commission calculations and statements towards Onyx & hotels.
    • Handle of commission inquiries for outstanding commissions that have not been processed by the internal automated systems towards Onyx..
    • Support for the hotels when it comes to commission related issues and questions.
    • Cooperate closely with accounting and take ownership on Onyx/commission related issues.
    • For the distribution/eBerry department and its customers, secure data input and governance for Onyx & EBX (Master Data Management system)
    • Be the main point of contact for invoicing between Onyx & operations/hotels.
  • Support: 
    • Invoicing & basic statistics for customers owned by the commercial distribution team & Leisure team.
    • Enquiries/issues related to contracted rates & discounts for customers owned by the commercial distribution team & leisure team.. 
    • Customer, - invoice cards in CRM system
    • Sabre & Nexus tasks when needed.
    • General SuperOffice, Ratemaster & EBX questions for customers owned by commercial distribution team & the Leisure team
  • Analyze:
    • Rates & availability spot checks and  responsible for the analyze of all commercial distribution segment´s
    • Incentive models. Follow up lose scores and responsible for our incentives towards third party distribution channels
  • Reports:
    • AMEX & CWT report quarterly 
    • Monthly report to finance for PFP invoice to hotels. Follow up questions from hotels and/or troubleshooting if necessary)
    • IATA report - ensure updated IATA lists p/customer in EBX
    • (PFP (Pay For Performance) 
    • Onyx Commission report - Provide monthly commision reports to Onyx. Be liaison between Onyx and Hotels for questions, troubleshooting etc. to ensure NCHG always pay correct commision amounts 
    • Monthly GDS report from CHI
    • Basic commercial customer reports on production etc. 
    • Be able to understand, update and read the numbers in the reports from cubes, Power BI etc.
    • Distribution reports for invoicing to hotels.
    • Participate or drive department projects and participate in other NCHG projects
